PTA and school newsletter email

A PTA or school newsletter email puts the week's dates, flyers, photos and volunteer sign-ups in one message every family can read on their phone. MailWild is made for parent volunteers: import your family list, tell the AI your news and it drafts the newsletter, then send. It costs $9 a month for up to 500 families and $19 for up to 1,500.

Why flyers and forwarded emails get missed

Parents get a lot of school communication: the district app, teacher messages, class group chats and paper flyers that may or may not make it out of the backpack. The PTA's news has to compete with all of it.

Many PTAs also send from a volunteer's personal Gmail with families pasted into BCC. That list walks away when the volunteer's child moves up to middle school, and there's no easy way for a family to stop getting it.

What gets read is one predictable email, on the same day each week or month, that a parent can scan in a minute on their phone. Not a photo of a flyer. Not a PDF attachment. Not a reply-all thread from a room parent's Gmail.

A weekly or monthly layout that works

Keep the order the same every time so parents know where to look.

  1. Dates first. Early dismissal, picture day, book fair, the next PTA meeting. A short list with days and times.
  2. One ask. The volunteer sign-up or donation drive that matters most this week, with a big button linking to your sign-up sheet or form.
  3. Flyers, turned into email. Instead of attaching the flyer, copy its key details into a short block: what, when, where, cost, and a button for more. Add the flyer image too if it helps, but the words should work without it.
  4. Photos. A few from the fun run or the class play. Check your school's photo policy, and leave out pictures of students whose families have opted out.
  5. Thank yous. Name the volunteers who ran last week's event. It's the easiest way to get volunteers next time.
  6. Contacts. Who to email about what, and the date of the next newsletter.

Sign-up reminders without nagging

Volunteer slots fill when the ask is specific. "We need 4 people to run the popcorn table Friday from 2 to 3" works better than "volunteers needed." Put that line and a button near the top, and put it again in the next week's email with how many spots are left.

MailWild can also schedule a send for later, so you can write Sunday night's newsletter on Thursday, and it shows how many families opened it and clicked the sign-up button.

Families who read in another language

MailWild doesn't translate your newsletter. If many families at your school read in another language, two simple options are to ask a bilingual volunteer to write a short version of the key dates and asks, or to keep a separate list for each language and send a version to each. Short sentences and dates written out in full make any newsletter easier to translate.

How MailWild fits a PTA

  • Easy handoff. The account and list belong to the PTA, so when the communications chair changes in June, you share the login instead of a spreadsheet.
  • Your notes become a draft. Paste in the bullet points from the board meeting and a few photos, and the AI drafts the newsletter. Edit anything before you send.
  • Unsubscribe and address added for you. Every email gets a one-click unsubscribe link and your mailing address automatically.
  • Cost. $9 a month for up to 500 families, $19 for up to 1,500, unlimited sends. Setting up and test emails are free; you pay when you send. See the pricing page.

Families can join from a signup link you share, or you can import a spreadsheet. Honest limits: there's no text messaging. A small "Sent with MailWild" badge appears at the bottom of every email.

Questions

What should a PTA newsletter include?

Upcoming dates, one main volunteer or donation ask with a button, event details copied from flyers, a few photos, thank yous to volunteers, and who to contact. Keep the same order every issue.

How often should a PTA send a newsletter?

Weekly works during busy stretches like the start of the year and spring events; monthly works for quieter PTAs. Pick a day and stick to it so families know when to look.

Does MailWild translate newsletters?

No. If families read in other languages, ask a bilingual volunteer to write a short version, or keep a separate list for each language and send each its own version.

How much does a PTA newsletter email cost?

MailWild costs $9 a month for up to 500 contacts and $19 for up to 1,500, with unlimited sends. Setup and test emails are free; you pay when you send to your list.
